The roadmap to choosing the right venue |
Choosing the right convention center for your event is critical to the success of your event or exhibition. Grappling with the permutations and combinations of the variables related to the choice can be daunting. There are numerous factors to consider, for instance price, location, size, A/V, amenities etc. So how do you make the best choice when you select a Center? Here are some pointers:
First, what type of event are you organizing? A conference, an exhibition, a gala? The type and size of event will help determine the amount space you require. For example, a convention center is ideal for an exhibition or large gatherings; a hotel with business amenities is suitable for a conference; a retreat center is perfect for informal meetings, team building activities or strategic gatherings.
Second, how many attendees are you expecting to attend your event? If your event limit is 300, make sure the venue selected can fit 300 people comfortably. There is nothing worse than attending a convention only to be crammed into small meeting rooms with other attendees. Make sure the rooms will be large enough to accommodate the number of attendees scheduled to attend. If it is an exhibition, you need to make sure that you have enough space to house the many exhibitors and vendors that might possibly attend.
Third, when are you planning to hold your event? Organizing an outdoor event during the monsoon means that you encounter the danger of being rained out. Similarly, during the sweltering summer, delegates in suits won't appreciate the great outdoors instead, they would prefer the comfort of a cool AC room.
Fourth, who is your audience? Where do they live? How many live close by and how many will have to hop on plane, bus or train? The answers to each of these questions determine whether your venue should be close to a hotel or not as delegates will think twice about attending if there aren't hotels close proximity to your venue. Moreover, these hotels should be competitive when it comes to amenities - high-speed wireless Internet, health club, etc. as guests are looking for more than just a place to sleep at night.
Fifth, what kind of amenities do you require to ensure your event's success? For example, if you are organizing a conference then you need make sure that the venue has a variety of functional business amenities. It won't do if on the day of the conference, there are no functional mikes or screens etc. If you select a venue that already has the amenities that you require it will eliminate the cost of hiring extra equipment.
Sixth, whether your delegate lives close or far, he has to eat, so, it is important for the venue to have at least refreshments. Also, check and see if there are good restaurants in the vicinity. You can also tie-up with these restaurants to offer discounts to your delegates.
Lastly but very importantly, don't sign up with the first venue you visit. You should always check out two or three venues check out the location, amenities, wear and tear etc. Then compare prices and services to ensure that the venue you selected meets your requirements perfectly before signing any contracts.
