Close your eyes and listen to the brief! Put together a ‘4 day event to be held at a 1000 sq ft ground, minimum 4 entrance and exits points, with pre event registration and on-site registration facility.' Plus, the client wants daily reports detailing number of attendees, number of repeat attendees, number of pre registrations etc.'
Sounds daunting, doesn't it?
It doesn't have to be! With EventAvenue as your online solution provider, you have a simple yet effective solution at your disposal that can do your head counting and number crunching. Best of all, EventAvenue eliminates the flaws of a number counter system i.e. double counting attendees, gatecrashers etc.
How does it work?
EventAvenue has a Label and Badge feature. This feature does more than just enable you to create unlimited number of badges from ready-to-use standard formats. It allows you to customize the formats to match your event branding i.e. event images, colors and the event or company logo. You can also auto-merge the attendee's information into the badge directly from his online registration form and email him a password protected PDF with a printable badge. EventAvenue has also enhanced the ‘Labels and Badges' feature with an auto generating ‘Barcode' functionality. This means every badge created and printed for your event will contain a unique barcode.
What is a barcode?
A ‘Barcode' is an optical machine-readable representation of data. In layman terms, a barcode is a unique set of lines, squares dots, hexagons, other geometric patterns and matrix codes.
EventAvenue is configured to auto generate 2 types of parallel linear widths (line) barcodes – 128 barcode and 38 barcode. The barcode type indicates the width of the bars, character set, method of encoding, checksum specifications, etc. There are no real differences between the two types of barcodes except the type of scanner used to read the barcode. The only aim of providing two types of barcodes is to add convenience as some event organizers may already possess a barcode reader. EventAvenue also provides event organizers with a list of barcode reader vendors.
How is inserting a barcode on your badge beneficial?
Barcodes can be mapped to specific events and to individual attendees. Inserting barcodes onto your labels or badges can make lead tracking and entry monitoring easier. They also allow for faster and more accurate recording of information. This means that you can speed up the entry process and track movement precisely. Barcodes will also help validate registrations and prevent gatecrashers from entering and disrupting your event.
How?
All you need to do is arm the employees at each entrance with barcode readers also known as barcode scanners and optical scanners. They will scan the barcode on each badge using special software, which will confirm the validity of the registration and store the information on the scanner system.
