In the past few years, we have examined the different ways an EventAvenue solution can make running an event easier. We have dealt with a variety of features from how to customize your event registration pages to how to generate a personalized invoice. In this issue of the EventAvenue Newsletter, we will discuss why and how to organize a closed event online using an EventAvenue solution.
Before we delve into why launching closed events online is not common or how to organize a closed event online, let us review the difference between open and closed events.
A
public event, as the name suggests, refers to any event open for the general masses i.e. anyone can register and attend. A closed event also known as an exclusive, is open only to a particular target audience i.e. registration to an exclusive or closed event is by invitation only.
Very few event organizers launch their closed events online as they believe that launching online opens a gateway that invites in the general masses and bring about unnecessary hassles. This belief is based on the idea that events are launched online to attract and convert audiences living far and wide. This misconception unfortunately adds to an event organizer’s workload and prevents him or her from offering his or her target audience registration convenience.
Yes, one of the key benefits of launching an event online is to attract attention of globally situated audiences. What most forget is that
registration convenience is another key benefit. By having an online registration and payment facility, interested individuals can register at any time of the day or night without worrying about geographic boundaries and time zones. By launching a closed event online, you can garner the appreciation of your exclusive target audience, as they will be able to register for your event at their own convenience.
Setting up an exclusive or closed event is as simple as creating an open event. All you have to do is take one of extra steps to bar the general masses from registering.
The Step
At the time or creating the event, you need to ‘Activate the Invitation Only’ functionality.
EventAvenue has an ‘Invitation Only’ function that you can activate during event setup. By activating this feature, you restrict any Tom, Dick and Harry from registering for the event. Take a close look at the registration pages given below. As you can see, there is only one difference between the two registration pages, which is ‘Invitation Code’. The Invitation Code field appears only when you activate the Invitation Only feature.
Please note, you will need to provide your target audience with an invitation code to enable them to register only. You can send them an invite with the invitation code using EventAvenue’s Auto Email feature.
To summarize, with an EventAvenue solution you can organize a closed event easily and earn registrant appreciation by offering them online registration convenience.
