Attendee management tips

A chief concern for every business is about serving customer and ensuring his or her happiness and satisfaction. Simply put, ‘Good service is good business.' For an event organizer, ensuring customer satisfaction is more complicated as you serve two masters – the client and the attendee. Trying to keep both of the happy without comprising can be nerve wrecking. To simplify your life and ease your nerves, we have compiled some Attendee management tips  .

Tip 1: Clients organize events to attract the attention of attendees, therefore, attendee satisfaction equals to client satisfaction. The easiest way to achieve customer satisfaction is by treating every attendee as if he is special.

If an attendee feels unvalued or ill treated, he will associate negative emotions to your event, which could have negative impact on your current event and future events.

Here are two customer service scenarios and the emotions and reactions they provoke.

Scenario 1 You walk into a restaurant and the maître takes one look at you, sneers and rudely asks you what you want.
Scenario 2 You walk into a restaurant, you are greeted with a warm smile and treated like you are special and your presence is valued.

These two scenarios reflect the opposite ends of customer service. For most of us, the first, scenario would provoke either of the following reactions: the first, ignore the behavior, decide to eat there anyway since you already at the restaurant but decide never to return; the second, address his rude behavior, walk out and criticize the hotel to family, friends and colleagues.

The second scenario draws a more favorable reaction i.e. the customer is more likely to return in the future and portrait the restaurant in a positive light when talking to family, friends and colleagues.

Moral of the story, great customer service is the key to happy and satisfied customers. This fact is true whether you are running a store, a restaurant or organizing an event.

Tip 2: Start Building a Great Impression from First Contact

The first contact an attendee has with you, your organization or event is during the registration process. Create a positive impression from the get go by making the registration process easy and convenient.

Easy - Make sure the registration form is comprehensive yet compact
- Make sure it won't take more than 5-6 minutes to fill
Convenient - Offer attendees registration convenience by an online registration option
- Offer a variety of payment options, so, all types of attendees can pay easily

By ensuring the attendee has a great experience, you increase the chance of him making a purchase at the current event and attending future events. This will lead to a happy client.

Tip 3: Organize Partner Programs for Sponsored Events that include Spouses

Sponsored events differ from other events for two reasons – one, the attendees do not pay to attend and two, often the attendees spouse is also invited to the location but not the conference. In such case, you have two audiences to cater too – the attendees and the spouses.

You can garner the appreciation of both audiences by organizing partner programs such as city tours, workshops etc. to entertain the spouses during the conference or seminar.

These simple Attendee management tips  will enhance the attendee-client-organizer relationship and can improve attendance numbers for future events.
